Overview of the Permissions section
Understand how the three permission tabs work together to control what each user can see and do.
The Permissions section is your central control panel for managing user access in EngageRocket. It is divided into three tabs, each controlling a different aspect of what your users can see and do. Understanding how these tabs work together will make it much easier to set up the right access for each person in your organisation.
The three permission tabs
1. Entity Users
This is your people directory, the complete list of everyone who has access to your EngageRocket account. Use this tab to invite new users, check the status of existing ones, reassign roles, or remove access. Every person who needs to log in to your EngageRocket account must be added here first.
2. Entity & Employee Permissions
This tab controls access to the foundational elements of your account, specifically, who can manage other users and roles, and who can view or edit your employee list. Think of this as the admin-level control panel.
3. Survey Permissions
This tab controls everything related to surveys and results. It is where you define who can create and manage survey projects, and — crucially — who can see the analytics dashboard. This includes whether a user sees results for the entire organisation or just their own team.
💡 How the tabs connect: A user needs to be added in the Entity Users tab before you can configure their permissions in the other two tabs. Always start with Entity Users when setting up a new person.
How user roles work
Every user in EngageRocket is assigned at least one role. A role is a set of permissions, it defines exactly what the user can see and do across the platform. EngageRocket comes with default roles, and you can also create custom roles tailored to your organisation's needs.
- A user can be assigned more than one role — they will inherit the combined permissions of all roles assigned to them.
- Custom roles always start with no permissions. You must manually select every permission you want to grant.
- Permission changes take effect immediately — users do not need to log out and back in.
⚠️ Important: Only users with 'Edit Entity Permissions' access can manage the Permissions section. If you cannot see or access these tabs, you do not have admin-level permission. Contact your Entity Admin for help.
Something not working?
- I cannot see the Permissions section in my navigation — You may not have the necessary admin permissions to access this area. Contact your Entity Admin.
- I made a permission change but the user says nothing has changed — Permission changes apply immediately. Ask the user to refresh their browser or log out and back in if they are not seeing the updated access.
