A troubleshooting guide for setting up survey projects, frequency, one-off, and milestone surveys

Choosing the right project type and settings can make a big difference in how your surveys run. This guide addresses the most common questions around creating projects, selecting survey types, and setting up milestone surveys so you can get started with confidence.

Below you'll find answers to commonly asked questions to help you configure your survey projects accurately and effectively.

Creating a Project

What is the difference between a Project and a Survey? A Project is like a folder that holds multiple related surveys. A Survey is the actual data collection within a project where responses from participants are gathered and analyzed.
I accidentally marked my project as a test project. Does it matter? Yes. Data from test projects will not be used for benchmarking purposes. If this was unintentional, you will need to create a new project as this setting cannot be changed once the project is created.
I can't change my project type after creating it. Is this a bug? No, this is by design. The survey project type (Frequency, One-off, or Milestones) cannot be changed once the project has been created. Please ensure you select the correct type before clicking "Create."
I set the wrong confidentiality threshold. Can I change it? No. The confidentiality threshold cannot be changed once it is configured. We recommend setting a minimum of 3 responses before creating the project to protect respondent anonymity and ensure data integrity.

Frequency vs. One-off vs. Milestones

What is a Frequency survey? A Frequency survey is a recurring survey that runs automatically at set intervals, such as weekly, monthly, or yearly. You can also configure the specific day it sends and set an end date to stop it when needed.
What is a One-off survey? A One-off survey is a single-instance survey conducted once without a scheduled recurrence. Surveys within a One-off project will still trend over time for historical comparisons.
Should I use Frequency or One-off? EngageRocket recommends using One-off as it is more flexible. Historical comparisons are still possible with One-off surveys, giving you the same analytical value without being locked into a fixed recurring schedule.
What is a Milestones survey? A Milestones survey is an automated survey triggered based on key dates in an employee's lifecycle, such as onboarding, confirmation, or end of probation. For example, surveys can be automatically sent 30, 60, or 90 days after an employee's start date.

Milestone Survey Setup

My milestone surveys are not being sent automatically. What should I do? Each employee must have a start date recorded in the employee list for the system to schedule milestone surveys automatically. Check that all relevant employees have their start date filled in correctly.
An employee's start date has already passed a milestone. Will they still receive the survey? Not automatically. If an employee's start date has already passed a milestone, you can manually set their milestone date on the Recipients page to ensure they still receive the survey.
How do I add a new employee to a milestone survey project? New employees can be manually added to the Recipients page of the milestone survey project. Once added, the platform will automatically send the survey based on their start date.
How do I add, edit, or delete milestones in my project? When setting up your milestone project, use the "Add Milestone" button to create additional milestones. You can also edit or delete existing milestones directly from the same setup page.
What confidentiality threshold should I set for onboarding milestone surveys? For onboarding surveys, EngageRocket recommends a more flexible threshold since responses often come from smaller groups. You can lower the threshold (e.g., below 3) or aggregate results over time to access insights sooner. Note that thresholds below 2 will mark the survey as non-confidential and recipients will be notified.
I selected the wrong date attribute for my milestone project. Can I change it? The survey project type cannot be changed after creation. If the wrong date attribute was selected, you will need to create a new milestone project with the correct date attribute configured.
