Refining Your Org Chart: A Practical Guide to Editing Existing Units

Edit existing units efficiently, ensuring your organisational chart remains a reliable tool for decision-making and employee engagement

Maintaining an accurate and dynamic organizational chart is paramount for effective data management, enabling precise reporting and fostering clarity across your organization. Once your initial organizational chart is in place, the need to adapt and refine it is inevitable. This guide provides a clear, step-by-step process for editing your existing organizational chart, covering common scenarios from adding to renaming units.

Understanding Unit Codes: Your Key to Accurate Edits

After importing your organization chart, each unit is assigned a unique Unit Code. This code is crucial for making accurate updates and preserving reporting hierarchies in your dashboard. Always refer to these codes when editing existing units to ensure precision.

Another important concept to understand is the relationship between parent units and child units:

  • A parent unit represents a higher-level organizational group that oversees or contains other units.
  • A child unit is a sub-group that belongs to or is managed under a parent unit.
    This hierarchical structure helps define reporting lines and ensures clarity in how different parts of the organization are connected.

Scenario 1: Adding a New Unit
As your organization grows or restructures, adding new units is a common requirement.
  1. In your template, you must specify the full path from the top-level unit down to the new unit (e.g., L1 > L2 > L3). For instance, to add a new Level 3 unit called "IT Admin and Sales Admin", you would fill in the Level 1 and Level 2 unit names in their respective columns, followed by the new Level 3 unit name.
  2. Crucially, for a new unit, you must leave the Unit Code column blank. This action explicitly tells the system that you are adding a brand-new unit.

Scenario 2: Removing an Existing Unit

When units are deprecated or restructured out of existence, their removal needs to be handled precisely.

  1. Find the Unit Code Refer to the 'List of Unit Codes' tab in the template to find the Unit Code of the unit you wish to remove.
  2. Input Unit Code and Leave Name Columns Blank Input the corresponding Unit Code in Column A (Unit Code). Following this, leave the unit name columns blank. This combination effectively signals the system to remove that specific unit from your organizational chart.

Scenario 3: Renaming an Existing Unit
 
Organizational changes often necessitate renaming units to reflect new mandates or clearer definitions.
  1. Locate the Unit Code Begin by locating the Unit Code from the 'List of Unit Codes' tab.
  2. Enter Unit Code and Update Unit Name(s) In the template, enter the Unit Code in Column A, and update the corresponding unit name(s).
Important Consideration for Parent Units: If you are renaming a parent unit, it is vital to ensure that all child units under it are also included in the file to preserve hierarchy.
