Surveys Dashboard: Frequently Asked Questions

Everything you need to know about accessing and navigating your Survey Results Dashboard.

Your EngageRocket Surveys Dashboard is where your people data comes to life. From tracking overall engagement scores to exploring open-ended responses and drilling into team-level hotspots, the dashboard is designed to give you clear, actionable insights at every level.

This FAQ covers the most common questions we hear from Report Reviewers and unit managers who are just getting started, or who want to get more out of their dashboard experience. Whether you're logging in for the first time or trying to make sense of a specific chart, you'll find the answers here.

Getting Access

Question Answer
How do I activate my account? Look for a welcome email from EngageRocket with the subject "Welcome to [Company Name]." Click the Activate your account button in the email, this will take you to the account setup page where you can create your password.
My activation link has expired. What should I do? Activation links are valid for 7 days. If yours has expired, contact your HR administrator or reach out to EngageRocket Support at support@engagerocket.co to request a new one.
I haven't received my invitation email. How do I log in? If you've been assigned as a Report Reviewer but haven't received your invitation email yet, you can still access the platform by resetting your password. Check out our step-by-step guide here: How to Reset Your Password.
What are the password requirements? Your password must be at least 8 characters long and include at least one uppercase letter, one lowercase letter, one number, and one special character (e.g., !, %, @, #).
What do I do after setting my password? Once your password is set, you'll be redirected to the workspace selection page. Find your company name, click the arrow next to it, and you'll be taken into your dashboard. You may also be prompted to enter your full name and preferred name before proceeding.

Navigating the Dashboard

Question Answer
How do I switch between different surveys? At the top of the dashboard, use the dropdown menus to select your Survey Project (e.g., Annual Engagement Survey) and the specific Survey Name (e.g., Pulse Survey January 2024). Each project will display results based on its own structure and objectives.
What does the Overall Score mean? The Overall Score shows the percentage of favourable responses, meaning ratings of 4 or 5 across all scored questions in the survey. It gives you a quick, high-level snapshot of how your team is feeling overall.
What is eNPS and how is it calculated? eNPS stands for Employee Net Promoter Score. It measures how likely your employees are to recommend your organisation as a place to work. Respondents are grouped into Promoters (scores 9–10), Passives (scores 7–8), and Detractors (scores 0–6). The eNPS is calculated by subtracting the percentage of Detractors from the percentage of Promoters.
What are Top and Bottom Dimensions? These highlight the strongest-performing area (Top Dimension) and the area that needs the most attention (Bottom Dimension) based on favourable response rates across your survey dimensions.
Where can I see participation rates? The Participation widget on the dashboard overview shows the current response rate, including the total number of responses submitted out of the total target audience. It updates in real time.
How do I compare my results against a benchmark? On the dashboard overview, look for the Benchmark against dropdown. Select the benchmark you'd like to compare your results with for example, Company Overall, and your scores will be displayed alongside the benchmark for easy comparison.

Understanding Trends & Historical Data

How do I view how my scores have changed over time? Scroll down to the Trend chart on your dashboard. Use the dropdown at the top of the chart to select the metric you want to track, Overall Score, eNPS, or a specific Dimension. The x-axis shows your survey timeline and the y-axis shows the favourable score percentage, so you can see how results have shifted across survey cycles.
Can I track a specific dimension over time? Yes! In the Trend chart dropdown, select Dimension and then choose the specific dimension you want to track, such as Leadership or Teamwork. This is a great way to monitor progress on a focused area after taking action.

Exploring Survey Responses

Question Answer
Where do I find the detailed question-by-question results? Head to the Responses tab on your dashboard. From there, you can view Scored Questions, Open-Ended responses, and Other question types (such as multiple choice and Yes/No) using the sub-tabs at the top.
How do I read the Scored Questions view? For each dimension, you'll see the overall Dimension Favourable Score and how it has changed from the previous survey cycle. Below that, each individual question shows its own favourable score, respondent count, and whether it contributes to the overall score.
What does the eNPS breakdown show me? In the Scored Questions tab, select eNPS from the left-hand menu. You'll see the full breakdown of Promoters, Passives, and Detractors, including the count and percentage for each group so you can understand exactly how the score was reached.
How do I explore open-ended responses? Go to the Responses tab and click Open-Ended. You'll see each open-ended question listed on the left. Select a question to view all responses, and use the Filter by sentiment dropdown to focus on Positive, Negative, Mixed, Neutral, or Unavailable responses. A pie chart also summarises the overall sentiment breakdown for each question.
What is the Topics bubble chart? The Topics bubble chart on the Overview tab gives you a visual summary of the themes that came up in open-ended responses. Each bubble represents a topic, its position (left to right) reflects sentiment from negative to positive, its colour intensity indicates how strong that sentiment is, and its size shows how frequently the topic was mentioned. Larger bubbles on the left are your priority areas for improvement.

Using Hotspots

What is the Hotspots chart? The Hotspots chart gives you a colour-coded view of how different groups within your organisation scored across all dimensions, eNPS, participation, and overall score. It's designed to help you quickly spot where strengths and concerns are concentrated.
How do I set up segments in Hotspots? Click Reselect Segments on the Hotspots page. You'll be prompted to choose an Attribute (such as Department, Job Grade, Tenure, or Age Range) and a Mode of Analysis, either compare multiple segments side by side, or focus on a single segment for a deeper dive.
Can I see individual question scores within Hotspots? Yes! Click on any dimension name in the Hotspots chart to expand and see the individual question-level scores for that dimension. Click it again to collapse the view.

Downloading Your Results

How do I download my survey results? In the Responses tab, click the Download Results button at the top right. You can choose between a PDF file (downloaded directly to your device) or an Excel file (.xlsx). Note that Excel files are sent to your registered email inbox rather than downloaded directly, this is to handle larger file sizes more reliably.
How do I download my Hotspots data? On the Hotspots page, click the Download Hotspots Data (.xlsx) button at the top right. The file will be queued and sent to your registered email address.
Can I include sentiment data in my download? Yes! When downloading from the Responses tab, you'll see a Show Sentiments toggle in the download options. Switch it on before clicking Continue to include sentiment categorisation in your exported file.
