How to Schedule Your Communications

Control your survey delivery, boost participation, and ensure the right messages reach the right people, at the right time.

The Communications page in EngageRocket gives you everything you need to manage how and when your survey reaches participants. From setting launch dates to customising emails, this page ensures that your outreach is timely, personalised, and designed to drive better response rates.

Set Your Survey Schedule with Precision

Timing is key to a successful survey. In the Communications page, you can define:

  • Survey launch date: when your survey goes live and participants can start responding.

  • Survey end date: when it will automatically close.

  • Prefer to decide later? You can also leave the survey unscheduled and set the dates when you’re ready.

This flexibility gives you full control over your survey timeline whether you’re planning in advance or working on the fly.

Choose How Participants Access the Survey

Make it easy for participants to join in. EngageRocket lets you decide how they’ll access the survey:

  • Via button: embedded directly in the email

  • Via QR code: great for mobile access or offline posters

These options are automatically included in your emails so participants can respond in just a few clicks.

Customise Your Participant Emails

Engaging emails make all the difference. On this page, you can craft communication that reflects your tone, your brand, and your message:

  • Subject line and message body: keep it clear and inviting

  • Email header image: upload a visual that matches your branding

  • Footer message: add any extra notes or reminders

Use the Preview Email feature to see exactly how your message will look before sending it out.

⏰ Don’t forget: You can also set up reminder emails for anyone who hasn’t responded yet fully customisable just like the first invite.

Notify Your Report Owners

Once the survey wraps up, your team needs to access the insights. That’s why the Communications page also includes settings to:

  • Automatically send dashboard access emails to Report Owners

  • Customise when these emails go out and what they say

This ensures key stakeholders get timely access to the results without you having to chase or manually follow up.

Final Check Before You Launch

After you’ve set everything up, just hit Continue to save your settings. Need to tweak anything later? No worries you can always return to this page before the survey launches.
